CRM, call handling, marketing automation, tender tools and TIFA Connect OS. We select and configure the tools that support your business, with a clear monthly scope and separate setup fee.
Our main work is helping you improve the business. Software is an optional way to support those changes: capture an enquiry, organise delivery or make a routine task easier. You can keep suitable systems you already use. A software subscription is not a condition of working with us.
Connected software services
Configured using supported platforms and integrations. These services can work alongside Connect or your existing systems.
01 / Calls and enquiries
Call answering linked to your CRM
Capture the caller’s details and reason for calling, route the enquiry and assign the follow-up. Use agreed automated answering, call routing and voicemail flows, with a handover to your team.
Create or update the contact and enquiry in a supported CRM.
Log the call outcome and create a callback task for the right person.
Use approved answers for routine questions, with clear limits and escalation.
The agreed plan identifies the answering method, opening hours, routing, usage allowance and fallback. Human reception cover is a separate provider service where required.
Example workflowA missed enquiry becomes a named follow-up.
01Incoming call
The caller asks about your service.
02Capture & route
The agreed flow records the enquiry or transfers the call.
03CRM record
Contact details and the call outcome are logged.
04Named next action
A team member receives a callback task and due time.
Illustrative workflow. The selected phone service and CRM must support the agreed connection.
02 / Marketing and follow-up
CRM-linked email marketing
Keep contact groups and follow-up emails connected to the sales process. Send agreed messages when an enquiry arrives, a stage changes or a customer reaches a renewal date.
Enquiry acknowledgements, welcome sequences and scheduled newsletters.
Audience groups based on the information and preferences in your CRM.
Approved templates, sending rules and unsubscribe handling.
Campaign results that can be reviewed alongside enquiries and sales activity.
The package defines the audiences, templates and active sequences. It includes configuration and agreed support; ongoing copywriting, campaign management and advertising are separate services.
03 / Opportunities and bids
Tender tracking and preparation
Bring relevant opportunities, deadlines and bid preparation into one process. Decide what to pursue before committing time to a response.
An opportunity register with a source, deadline, owner and next action.
Alerts from agreed supported sources and a queue for human review.
A bid/no-bid checklist and a schedule for the selected response.
A reusable library of approved company information and response material.
Coverage depends on the sources included in the package. AI-assisted summaries or drafts require review against the source documents. Bid writing, final approval and submission are not automatic.
04 / Routine administration
Booking, reporting and workflow tools
Add the tools needed for a defined process, using established applications and approved connections.
Appointment booking, enquiry forms and CRM-linked reminders.
Customer onboarding, document requests and electronic signatures.
Management dashboards using agreed measures and data sources.
Renewal reminders, service requests and customer portals.
AI-assisted summaries, document sorting and first drafts with review points.
We confirm compatibility before recommending a package. These are connected tool options, not a claim that every function is built into Connect.
TIFA Connect OS
Module guide
Connect brings operational records, actions and management routines into a shared workspace. We use the modules that fit your business and connect specialist tools where appropriate.
This guide describes module areas, not an all-inclusive subscription. Released features, sector suitability and the complete working process are demonstrated and confirmed before a module is included in your plan.
01Commercial CRMOrganisations, contacts, commercial activity and follow-up.+
Connect’s commercial model includes provider and commissioner relationships. We check that your sales process fits before including it; other CRM platforms are an option where it does not.
02Calls and voicemailCall activity, routing and voicemail review.+
Voice tools bring call records and follow-up into the working day. Number provision, recording settings and CRM links are confirmed for the selected setup. Automated answering is a separately scoped service.
03Tasks and management routinesNamed actions, due dates and regular management checks.+
Assign work to an owner, track the next action and organise repeatable management routines. We configure responsibilities and review points around your team.
04Processes, audits and actionsProcess instructions, checklists, audit records and corrective actions.+
Record how a process should run, who checks it and what needs to happen when an issue is found. The module supports your management process; it does not provide regulatory sign-off.
05Documents and recordsShared document records and controlled access.+
Organise operational documents alongside the work they support. The agreed setup defines document types, access and ownership. Specialist evidence and reporting requirements are checked separately.
06RecruitmentApplicant tracking and recruitment administration.+
Track candidates through agreed stages, coordinate interviews and record recruitment actions. The process and access permissions reflect the roles involved in hiring.
07Training and inductionLearning assignments, induction steps and completion records.+
Give new starters a defined induction process and managers a view of assigned learning. Your content, completion criteria and reminders are agreed during setup.
08Property operationsProperty records, maintenance, inspections and contractor information.+
Organise information and actions relating to a property portfolio. Estate agency sales, lettings accounts and property portal feeds use specialist tools where needed; they are not assumed to be native Connect functions.
09Rota planningPatterns, planned shifts and coverage views.+
Review the planning functions against your staffing model. Publication, attendance, timesheets and payroll are separate capabilities and are only included where the complete workflow has been demonstrated and agreed.
10Cost planningRates, overhead inputs and cost scenarios.+
Connect includes placement-oriented cost models. We check their relevance before recommending them. General business accounting, payroll and bank reconciliation stay with the appropriate finance system.
11Funding and tender opportunitiesAn opportunity register, review stages, deadlines and next actions.+
Supported public notice feeds can populate a review queue. Each opportunity is qualified by a person before pursuit actions are assigned. Sector matching and the monitored sources are agreed for the setup.
12Team communicationOperational updates, handovers and staff communication.+
Keep work-related information alongside the people and processes it concerns. Channels, access and response responsibilities are agreed with your team.
Specialist care and support functions
Support records, placement information and health-status views are relevant to care and supported-accommodation providers. These need a sector-specific demonstration and access setup; they are not part of a general business package.
A defined consultancy programme establishes the process, responsibilities and measures. Software is recommended only where it supports that work.
02 / Implementation
Configure and hand over
We agree the supported setup, configure it, test representative examples and train your team. The setup fee and any data import are confirmed separately.
03 / Subscription
Run the agreed tools
The monthly plan states the modules, users, support allowance and usage limits. Provider licences and call, message or AI usage charges are shown separately where applicable.
Clear scope before you subscribe
Your proposal confirms what is supplied by TIFA and by other providers, billing arrangements, support hours, response expectations, contract term and how data is exported on exit. Changes outside the allowance use a defined add-on or implementation programme.
Monthly business performance reviews are a separate consultancy service. They are not included automatically in a software subscription.
Options for your industry
The core method stays consistent. The records, terminology and selected tools reflect the work your business does.
